Upon client request, Canada FileSafe™ can provide consultation in establishing records management procedures, indexing your files and developing a retention scheduling strategy for your records.  Every business, agency and institution is at a different spot when it comes to managing their records and documents. A Canada FileSafe records management specialist can provide an assessment of your current practices, present recommendations for improving your practices to meet the requirements that have been placed on you and implement solutions to issues that have been identified.

Indexing Your Records

Part of a successful records management program is the proper and consistent indexing (or labelling) of you records.  Canada FileSafe can provide assistance in developing a consistent and homogeneous system for labelling your records.  By doing this, you will ensure that all related records will be given the same label identification (i.e. all Accounts Payable records are called Accounts Payable - not Invoices one month and A/P the next).  Consistent label practices will allow for easier and faster retrieval of your records when required.

Retention Scheduling

Canada FileSafe can also assist you in developing a retention scheduling strategy that is designed to reduce the volume of records in off-site storage, retain all records that you are required to retain, retain those records only for the length of time that retention is required and destroy those records that you no longer need when you no longer need them.  Our retention strategy approach focuses on the highest volume record series and develops strategies that meet government, corporate, legal, financial and work process requirements.
